We respect your privacy. Our collection, use and disclosure of your personal information is detailed in our Privacy Policy and forms part of the use of this website.
We will need to hold and store some of your personal data to :
By registering interest, joining our waitlist, or signing up to a service or membership, you provide your permission, for the duration your membership for us to hold and store come of your personal data. In the event a membership is cancelled, we will keep your data on file for a period of 6 months, unless you ask us to delete it. You can request a copy of this data we hold for you at any time. Unless you request your data to be removed early, after 6 months of no contact, we will remove your data permanently from our system.
We will only collect certain types of personal data which is not considered “sensitive” in that it cannot be processed to uniquely identify one specific individual. We store the following personal data:
Name and Surname, email address, contact telephone numbers, address provided during membership signup, and any information provided in forms completed by you during enrolment for health and safety or nutrition coaching.
If you have registered interest through our website your name and email address will be stored on our online database, JotForm, and may be used to contact you with updates on our startup progress.
If you purchase a membership or drop in, your personal data will be stored on our online database, TeamUp.
We may occasionally use your email address or telephone number to contact you for promotional purposes.
We do not share any personal data with any other third party.
Tribe Rules
Members are responsible for their own health, physical condition and wellbeing at all times.
Members should use equipment and facilities provided by us in the correct manner, and not in a way that could cause a harm, or constitute a health and safety risk either to themselves or to others.
Members should not attempt to use any equipment or facilities until they have been instructed by an inhouse qualified instructor in the correct use.
Members must inform us of any medical condition or medication which may affect their ability to exercise or use any equipment or facilities provided by Roxhaus in any way. Members must then take into account any instructions provided as a result.
Members must not use our facility when under the influence of alcohol or drugs for safety reasons.
Members should not use Roxhaus immediately following a heavy meal.
Members should dress appropriately whilst using our facility to ensure all members of our tribe feel comfortable in our space. Dirty clothing should not be worn and can be stored in lockers provided.
Member’s animals are allowed only with the consent of a member of staff. Members with guide dogs should inform us when applying for a membership.
No smoking is permitted anywhere on the property (including inside and outside areas).
Workouts will be strenuous, and perspiration is inevitable. Members should wipe equipment after use to prevent it affecting other members.
Members must book into classes, open gym, events, and recovery slots before attending.
Members shall respect the equipment and facilities, and where possible try and prevent damage.
Memberships
Roxhaus uses a third party for membership signups to access various features that form part of our company, and our website. If you register through this third party linked site, you agree to provide them, (and Roxhaus) with accurate, truthful, complete, and updated information. Failure to do so shall constitute a breach of these Terms of Use, which may result in immediate suspension or termination of your account.
You must be 18 years of age to register for any function or service offered by us. Any person under the age of 18 must be contracted through a parent or legal guardian, who has registered on their behalf and has read and agreed to these terms and conditions.
All members are required to complete necessary questionnaires and waivers prior to first attendance.
Memberships are for teaching and coaching designed to develop your fitness and understanding. The agreement is to participate in coaching services, and other facilities provided by us over a specific period of time in accordance with your specific membership package.
Access and booking classes, open gym, events, and recovery slots can be carried out using your personal login through our third party booking system.
Membership fees shall be controlled by Roxhaus and may be altered at any time. Members will be notified via email or app, of any changes in the fees prior to the date of the alteration.
Membership fees are payable according to the membership type selected. On payment of membership fees, a member shall be allowed to use Roxhaus facilities in accordance with the membership type purchased. We reserve the right to reject or refuse an application or admission, without giving any reason.
Members may upgrade their membership immediately. Membership downgrades will take place in the next commitment period and require 28 days notice.
Members agree to allow Roxhaus to use pictures and videos for advertising purposes. If members choose not to allow use of such media you must inform Roxhaus of this in writing.
Members cancelation rights
A member may cancel their membership by giving at least 28 days written notice before the end of the current commitment period. If a member is within a commitment period, the membership will be cancelled once the commitment period ends. Notice to cancel a membership should be sent to hello@roxhaus.co.uk.
All pre-existing payments due in the commitment period shall be paid in full, and Roxhaus is not liable to refund any payments should the receipt of cancellation not be received in accordance with this clause.
Pausing Memberships
Members on a rolling commitment may put their membership on pause two times per calendar year for 2 weeks. The members may pause their membership an additional two times at the cost of £10 per week.
Notice to pause a membership should be sent to hello@roxhaus.co.uk 7 days in advance of the intention to pause the membership unless due to injury, sickness or pregnancy. A return date is required.
Medical documentation is required to be attached to the request and considered on a case by case basis if pausing for reasons of illness, injury or pregnancy
Bookings
There may be is a £10 fine for ‘no shows’ and £5 fine for late cancellations at our discretion. Members must cancel a class at least 2 hours before the class starts; or if the class starts at 10am or before then the class needs to be cancelled before 10pm the night before.

Personal Training
Your signed Personal Training membership agreement, these terms and conditions, and the terms of gym use form a legal agreement between you and Roxhaus, so please read them carefully.
You can book sessions with your preferred Roxhaus Personal Trainer online via a direct link, WhatsApp with a member of the team, or in person.
All purchases for training shall be paid in full (or via direct debit for some valid personal training packs), either in person or online via a direct link, and prior to any sessions starting.
Any monthly direct debit Personal Training pack sessions must be used within the designated timeframe. Any sessions not used will be lost and cannot be carried over into the following period.
Unless otherwise requested, personal training will be debited upon completing payment details and every 4 weeks until cancellation is requested 7 days prior to the next billing date. Notice to cancel should be sent to hello@roxhaus.co.uk.
We are unable to provide any refunds once a session has been used from the pack purchased, or you cancel your membership during the period.
We require a minimum of 24 hours prior notice of any cancellation of Personal Training sessions via email or telephone. If you do not provide this, you may lose your session and no refund will be made.
Your lesson will start at an agreed time and run for an agreed period. In the event you are late, the session will still run for the agreed period, unless approved by the Personal Trainer. If you are more than 25 minutes late, your Personal Trainer may choose to cancel the session and you may lose that session, and no refund will be made.
For any Personal Training packs with a 30 day expiry, any unused sessions will be lost and no refund will be made. We may extend Personal Training packs for pregnancy, serious illness or serious injury, at our discretion.
You may transfer any unused sessions during a period to another personal trainer at any given time during that time frame. Unused sessions will be assigned to another Personal Trainer in the unlikely event they leave in your training period.
A Personal Trainer cannot prescribe treatment or diagnose medical conditions.
Nutrition mentoring
Nutrition Mentoring will be booked either via email or directly through your assigned RoxCoach.
Mentor and member can agree to carry these out in person, or over the phone.

Passwords
You agree that we may store and use any registration data, including your user name and password for use in maintaining your account. Keep this information safe. You are responsible for ensuring the confidentiality and security of your account. Roxhaus shall not be liable for any loss that you incur as a result of someone else using your password, either with or without your knowledge. You may be held liable for any losses incurred by Roxhaus due to someone else’s use of your account.
Roxhaus reserves the right to refuse registration of, or cancel a Members ID, at its sole discretion. You may not sell or transfer your account, or otherwise allow any third party to use your account for any purpose, unless expressly agreed in writing by Roxhaus.
Facilities
Our members are entitled to use Roxhaus facilities within opening hours providing they are booked into the slot through our third party booking site. Roxhaus will endeavour to make all facilities available at all times, however may withdraw all or part of its facilities for any period with notice, where practicable, in connection with any cleaning, repair, alteration, maintenance, or other works for reasons beyond our control.
Medical Disclaimer
Roxhaus does not provide medical advice.
You should always consult a physician or other medical provider for diagnosing a health problem or disease.
Exercises and programs provided by Roxhaus can be strenuous and should be scaled or carried out in moderation until you are comfortable with the movements to prevent the risk of injury. There is an inherent risk of injury whilst carrying out any exercise, if carried out incorrectly. It is important to always adhere, and follow the techniques, advice, ideas, and suggestions of any person associated with Roxhaus at your sole discretion and risk.
Because there is a risk involved in the types of activities offered by Roxhaus you accept financial responsibility for any injury that may be caused either to yourself or to any other participants due to your negligence. You agree to indemnify and hold harmless Roxhaus, their employees and volunteers from liability for the injury or death of any person(s) and damage to property that may result from your negligent or intentional act or omission while participating in activities offered by Roxhaus.
Inductions and pre-workout questionnaires should be completed honestly to ensure we are able to offer the best advice and scaling options to benefit your health and wellbeing.
In the event you have any questions or concerns prior to using or participating in any program or workout, or use of any product or treatment, seek the advice of your physician or other qualified health-care professional.

Supervision of Children under 18
We love kids and are excited to welcome them to Roxhaus! We do have some strict requirements if you are planning to bring your kids. Please read below for the details.
Roxhaus is committed to ensuring its safeguarding practices reflect statutory responsibilities, government guidance and complies with best practice and requirements.
Roxhaus recognises that the welfare and interests of children and young vulnerable adults are important in all circumstances regardless of age, gender, religion or beliefs, ethnicity, disability, sexual orientation or socio-economic background and continues to remain committed to safeguarding our members to ensure it provides a safe environment in which our junior members can train, develop and thrive.
This policy is reviewed every three years (or earlier if there is a change in national legislation).
In line with current safeguarding advice, Roxhaus has developed a policy and guidelines regarding the supervision of children under 18 years of age whilst at our facility.
Roxhaus recommends children under the age of 13 must be supervised by a parent/guardian whilst on site outside of a coaching session, or any other organised activity.
The online booking should be made by the parent/guardian on behalf of the junior which indicates parental/guardian responsibility and consent. The parent/guardian must remain present at the club for the session.
When attending coaching sessions, children under 13 should not arrive alone or leave the club alone unless prior arrangement has been agreed with the coaching team.
Parents/guardians must collect their child from any coaching session promptly at the finishing time as the coaching team is only responsible for the child during the set time they are attending this activity.
Children under 13 should never be left unsupervised by their parent/guardian even if other adults are present at the club.
If a parent/guardian is unable to supervise their own child, they need to make clear arrangements to designate the responsibility of supervision to another adult. The coaching team must be made aware of such arrangements.
Junior members over the age of 13 may attend the club unsupervised by a parent/guardian if their parent/guardian deems it appropriate for their child. The session booking must be made by the parent/guardian to indicate that consent is given.
If a junior member over the age of 13 is attending with an adult member outside of their own family, the session must be booked by the parent/guardian of the junior, to indicate that consent is given.
Junior members over the age of 16 may be considered for their own Roxhaus account in order to book sessions. The parent/guardian should email the club prior to the account being activated to give their consent and their child’s details. We would recommend that parents/guardians regularly check the online bookings to confirm they continue to consent to the use of our facilities.
Our online system prevents children under the age of 18 from booking into any sessions which are not supervised by a member of the coaching team.
Roxhaus will carry out its due-diligence to ensure that all appropriate checks are carried out on new staff that will work or encounter children and adults in line with government requirements.
Coaches undertaking sessions with children under the age of 18 will have the correct qualifications to conduct these classes.
In the event of any child abuse or neglect, please report any concerns to any of the Roxhaus management team who will be able to act accordingly.
